Visa Information & Requirements

Conference participants requiring a letter of invitation to obtain a travel visa should submit their request as early as possible to avoid delays or possible cancellations.

Letter of Invitation requests will NOT be granted after May 2, 2025.


Please carefully review our guidelines below for the request and receipt of an invitation letter:

  • Visit the Ministry of Foreign Affairs of Denmark (MOFA) website for the latest requirement information
  • If you require a visa and need a letter of invitation, please complete your conference registration. Please follow the instructions on the registration form landing page to access the correct registration flow for those requiring a letter. You will not be required to submit payment.
  • After you have successfully submitted your registration, please send a follow-up email to events@first.org with your request.
  • Individuals requesting letters will be run through compliance and thoroughly vetted.
  • Approved requests will be contacted within 3-5 business days. Requestors will be emailed a draft letter for review and approval.
  • Confirmed and signed letters of invitation will be provided to the requestor via email and in PDF format within 14 business days after approval.
  • Your conference registration will remain in “Waitlist” status until you complete your registration payment. Payment can be completed by accessing your registration confirmation email and selecting the “Modify My Registration” link.

Please keep the following in mind:

  • The purpose of a “Letter of Invitation” is to assist participants who need to obtain a visa, or permission to attend the conference and is not an official invitation covering fees or other expenses.
  • A letter of invitation does not imply any financial support from the host organization or its approved representatives.
  • Requestors requiring a physical copy of their letter will be responsible for all shipping fees associated.
  • Requests for letters of invitation will be accepted up to May 2, 2025.

Please start the research process early and allow adequate time for any processing due to any unforeseen delays.

Getting to Copenhagen

Copenhagen Airport, Kastrup (CPH IATA), is an international airport serving Copenhagen, the capital of Denmark, as well as Zealand, the Øresund Region, and southern Sweden including Scania. It is the largest airport serving the Nordic countries.

Getting to the Conference Venue

With only 8 km to the center of Copenhagen, it’s easy to get to and from the airport. Depending on which form of transportation you prefer, it will take between 13 and 35 minutes to travel the distance. When arriving at Terminal 3 you’ll have easy access to both trains and metro – you just have to walk straight ahead to get there. The buses are just outside Terminal 3.

Train

The trains depart every 10 minutes from the airport to Copenhagen Central Station during the day. In the evening it will be every 20 minutes, and during the night, once an hour. To get to the central station by train it will take 15 minutes. At Copenhagen Central Station you will find connections to the rest of the country by train, S-train or bus.

Copenhagen Central Station is located right in the city center, within walking distance of attractions like Tivoli Gardens, Glyptoteket and Strøget, and it is surrounded by shops, restaurants and hotels.

Metro

If you want to travel by the Metro, it’s 13 minutes to Kongens Nytorv. Here you can change to metro line M3. It’s a line with 17 stops around the city, all connected by the metro, forming a circle. One trip around the circle takes 28 minutes.

Taxi

Just outside both Terminal 1 and 3 you’ll find taxis. It will take around 20-30 minutes to get to the city center by taxi, and cost around 250-350 DKK, depending on the traffic.

Busses

From the airport you can travel to Copenhagen Central Station by bus. You’ll go by bus 5c and it will take around 35 minutes. The bus stop is just outside of Terminal 3.

Getting Around Copenhagen

Taxis

Taxis are readily available in downtown Copenhagen. It's common to tip 10% in Copenhagen for a longer journey, and if you were helped with your luggage. For short journeys the easiest option is to round up the bill to the nearest significant amount in Danish krones.
